Easyworks AI Solutions ("Easyworks", "we", "us") builds and runs growth systems and personal assistants for businesses ("Clients"). This Privacy Policy explains what information we handle, how we use it, how we protect it, and the choices available to you. It covers our website (easyworks.ai), our software, the assistants we run for Clients, and the marketing services we operate on a Client's behalf, including content published to social media accounts a Client has authorized us to manage. Our core commitment: We only access accounts and data that a Client has explicitly granted us permission to manage. We use that access solely to deliver the services the Client has hired us for. We never sell personal information.
1. Who this applies to
- Visitors to easyworks.ai.
- Clients who engage Easyworks for marketing/AI services.
- End users of our Clients' pages whose information may be processed while we operate those pages on the Client's behalf.
2. Information we handle
Information you provide
- Contact details submitted through forms (name, email, phone, business details).
- Information Clients share with us to deliver services.
Information accessed on a Client's behalf (with the Client's authorization)
- Facebook Pages & Instagram accounts: When a Client grants us access through Meta Business Manager, we use Meta's APIs to schedule and publish the marketing content we produce for that Client, and to read basic page/post performance. We only post to accounts the Client has assigned to us, and only the content we have created or that the Client has approved.
- Page insights / metrics used to report performance and improve content.
- Messages or comments only where a Client has asked us to assist with engagement.
Google account data a Client connects (Gmail and Google Calendar)
A Client may connect their own Google account to the assistant we run for them. They do this themselves, on their own device, through Google's consent screen, and they can disconnect at any time. When connected, the assistant accesses only what the Client approved:
- Gmail (read): the content of messages and attachments in the Client's mailbox, used to summarize what came in, flag what needs a reply, and answer the Client's own questions about their inbox.
- Gmail (drafts): the assistant writes reply drafts into the Client's Drafts folder. A draft is sent only when the Client explicitly approves that specific draft. The assistant never deletes, archives, labels or forwards mail.
- Google Calendar (read): the Client's events, used to show the day's appointments in their brief and to avoid proposing follow ups at times they are already booked. The assistant never creates, edits or deletes events.
Client systems our assistants work in
- CRM data: contacts, notes, tags, pipeline stages and activity in a CRM the Client has authorized us to connect to (for example a real estate CRM), used to prepare briefs, keep records tidy and propose follow ups.
- Text messages: messages the Client exchanges with their assistant, and messages the assistant prepares for the Client's contacts. Messages to a Client's contacts go out only under rules the Client has approved, and never during the contact's night time hours.
Information collected automatically
- Standard log and device data when you visit our website (e.g., IP address, browser type, pages viewed) for security and analytics.
3. How we use information
- To provide, operate, and improve our services for Clients.
- To create, schedule, and publish marketing content to authorized Client accounts.
- To measure and report on content/campaign performance.
- To communicate with Clients and respond to inquiries.
- To run a Client's assistant: prepare briefs, summaries, drafts and proposed actions for that Client, and keep the working memory the assistant needs to be useful to that Client.
- To maintain security and comply with legal obligations.
4. How we share information
We do not sell personal information. We share information only:
- With the service providers that run our services, strictly to perform the services requested. Today these are: Anthropic (the AI model that reads and writes for the assistant, under commercial terms that do not permit training on the data), DigitalOcean (servers, located in Toronto, Canada), Netlify (website and connection pages), Google (Gmail and Calendar, only for accounts a Client connects), Meta Platforms (Facebook and Instagram, only for accounts a Client connects), the Client's own CRM and messaging platforms (for example Lofty or LeadConnector), Stripe (billing) and Cloudflare (network security).
- With the Client whose accounts and data we manage.
- When required by law, or to protect rights, safety, and security.
5. Data retention & deletion
We retain information only as long as needed to provide services or as required by law. Clients may request export or deletion of their data at any time, and any party may request deletion of their personal information.
Data deletion requests: Email
[email protected] with the subject "Data Deletion Request" and we will action it within 30 days. To revoke our access to your Facebook/Instagram accounts at any time, remove Easyworks from your Meta Business settings. To disconnect a Google account, remove Easyworks at
myaccount.google.com/permissions; we delete the stored connection and any Gmail or Calendar extracts the assistant kept within 30 days of disconnection or request, whichever comes first.
6. Your choices & rights
- Access, correct, or delete your personal information (contact us).
- Revoke account access we hold on your behalf at any time: Google accounts at myaccount.google.com/permissions, Meta accounts via Meta Business settings, CRM access from inside the CRM's team settings.
- Depending on your location, you may have rights under PIPEDA, Alberta PIPA, GDPR, or similar laws.
7. Google user data and the Limited Use requirements
Easyworks' use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In plain terms:
- We use Gmail and Calendar data only to provide and improve the assistant features the Client sees, as described in section 2.
- We do not use Google user data for advertising, we do not sell it, and we do not transfer it to data brokers or information resellers.
- We do not use Google user data to develop, improve or train generalized artificial intelligence or machine learning models.
- No person at Easyworks reads a Client's Gmail or Calendar data except with the Client's permission for support, for security investigation, or where the law requires it.
- Google user data is transferred only to the processors listed in section 4 that are needed to run the assistant, and only as needed for that purpose.
8. Security
We use reasonable administrative, technical, and organizational measures to protect information. Connected account credentials are held in restricted files on servers we control and are never placed in a browser or shared with contractors. Assistants run on servers located in Canada. Every message an assistant prepares for a Client's contact passes an automated check, and anything that fails that check is held for review rather than sent. Access is least privilege and Clients can revoke it at any time. More detail is in How we handle your data.
9. Children's privacy
Our services are intended for businesses and are not directed to children under 13.
10. Changes to this policy
We may update this Policy from time to time. Material changes will be reflected by the "Last updated" date above.
